In this post we’ll discover how to share access to Facebook Ads safely, protect data and, retain a history of everything under the client’s account.
Client Control Protects All Parties
There are many tools you can use to create your funnel for digital marketing. Each platform you use will have its own account setup and security protections. For some tools you might even have multiple account setups.
Facebook is a great example of this. There are a few ways to have shared access to a Facebook page.
- A page owner can grant access to an individual user account.
- An individual can be added as an employee by the owner of a Business Manager account.
- An individual can be added as an Admin to a Business Manager account. This grants access to all of the properties under the Business Manager account.
- As Business Manager account can be added as a Facebook page partner.
- A Business Manager account can be added to another Business Manager account as a partner.
Let’s start with a step-by-step guide to setting up accounts for Facebook Ads and Facebook Business Manager.
Setup Account and Share Facebook Ads & Facebook Business Manager Access
Facebook has the most complicated ad account setup because of how many combinations are possible. There are two types of Facebook ad accounts. There are those that are owned by individual profiles and those owned by a Business Manager account. It’s best to run ads from the account owned by the client. There are two reasons why this is the best way.
- Each Facebook Ads account can only have one Facebook Pixel. The Facebook Pixel is how you create custom audiences.
- Clients can input their own credit card information and pay Facebook directly. This eliminates the need for the agency to be a middleman in the payment process.
Now, let’s look at the steps necessary for an agency to access a client account.
Using the Client’s Personal Facebook Ads Account
Many small business owners use their personal ad account for their business. This generally isn’t an issue, but if you’re a small business owner and you’re ready to consider a team for your Facebook marketing, then we recommend a transition to Business Manager and a business ad account.
To setup a client ad account in Business Manager there are two options.
- Create a new ad account that is owned by the client’s Business Manager.
- Transfer an existing personal ad account into the client’s Business Manager.
Usually the best option is to setup a client with a new ad account that is owned by the Business Manager and not an individual person.
If the client has already properly setup a Facebook Pixel, run numerous ads, and has collected substantial data, then client or the agency may want to pull the owner’s personal account into Business Manager.
Remember, pulling a personal account into Business Manager disconnects the ad account from the personal profile and this cannot be reversed.
The agency can request access to the owner’s personal ad account from Business Manager, but it is cleaner to run ads from a Business Manager owned campaign.
Creating Client Ad Accounts in Client Business Manager Accounts
Before beginning the process of creating a client Ad account, the client must first have a Business Manager account of their own.
Business Manager offers three options for accessing an Ad account. They are:
- Add an Ad Account: Transfer ownership of the account to the requesting Business Manager. This is how you pull a personal ad account to the Business Manager.
- Request Access to an Ad Account: This keeps the Ad account where it is and adds the requesting Business Manager as a partner to the Ad account.
- Create a New Account: This creates an Ad account that is owned by the Business Manager account. This Ad account CANNOT be transferred to another Business Manager.
As a client, be sure to create the Ad Account under the Business Manager you own so that you will always have ownership of it. It CANNOT be transferred to another Business Manager.
Proper Setup of Client’s Facebook Business Manager
If the client doesn’t already have a Business Manager account, create a new account using the customer’s business email at https://business.facebook.com.
After the client creates a. Business Manager account, the client needs to add the agency as an Admin. To add the agency as an Admin, the client will need to be log into their account and navigate to Business Settings.
Open the left sidebar menu, then click People under the Users category. Click the Add button.
In the Invite People pop-up, the client will need to select Admin Access and then enter the email specified by the agency. Click Next.
On the next page, click Invite.
The Agency Side of the Facebook Manager Sharing Process
A client can add an agency’s Business Manager as a partner, but the agency can’t be a Business Manager admin. This will limit what an agency can do if one person isn’t also an Admin of the client’s Business Manager.
Once an Admin of the client’s Business Manager, create a new Ad Account in the Client’s Business Manager.
Then add the agency’s Business Manager as a partner of the client’s Business Manager. Do this by navigating to Business Settings, choosing Partners, and clicking Add.
In the following pop-up, enter the Business ID of the agency’s Business Manager account.
You can find your own Business ID in your own Business Manager by opening the left sidebar menu and clicking on Business Info.
Moving on, to assign the client’s ad account, page, or other assets to an individual.
Next, assign the client’s ad account, page, and other assets to the agency.
In the agency Business Manager, assign team members to appropriate roles for the client’s ad account, page, and any other assets.
The advantages of this setup are:
- Easily remove individuals or the agency from the client’s account.
- The client can quickly remove the agency or individuals.
- Team member access can be managed via the agency’s own Business Manager.
- Two admins will protect the client from a hacked or blocked account.
